AI Receptionist · Florida service businesses

An AI receptionist that answers the calls you miss

You can’t answer the phone from a ladder or under a sink. Our AI receptionist picks up the calls you miss, books the job on your calendar, turns down work you don’t do, and sends you the details. Your phone still rings first.

Real numbers

What one business was missing

202calls in five and a half months
26%of calls turned into a real conversation
107 of 126missed calls came in on weekdays, 8 to 5
45 of 80calls from paid ads went unanswered

These numbers come from the call tracking of a Florida home-services company we work with, May to mid-October 2026. Of 202 calls, 52 turned into a real conversation and 126 rang out or went to voicemail. Nobody was ignoring the phone. The owners were out doing the work. Voicemail didn’t save those calls either: in one of their markets, 88 people called and only 3 left a message.

Your numbers will be different. If you track calls, ask us for a free missed-call check and we’ll show you yours.

What it does

A receptionist for the calls you can’t take

📞

Answers when you can’t

Your phone rings like it always does. If nobody picks up, the call forwards to the AI receptionist, which answers in your business’s name, day or night, weekends included.

  • Only the calls you miss
  • Nights, weekends and busy hours
  • Your number stays the same
📅

Books real appointments

It checks your calendar and offers only times that are actually open. It gets the caller’s name, address and best number, reads them back, and puts the visit on your calendar.

  • Real open times only
  • Reads back the address and number
  • Optional confirm-first mode
🚫

Turns down work you don’t do

You give it the list of jobs you don’t take and the areas you don’t serve. It says no politely and doesn’t book them. If you fix air conditioners, it won’t book a fridge repair.

  • Your services, your service area
  • A polite no instead of a bad booking
  • Unclear jobs become a message for you
🔔

Gets you the details fast

The moment it books a job or takes a message, you get an alert on your phone. After every call you get an email with a summary and a transcript. Emergencies and complaints come marked urgent.

  • Alerts on your phone
  • A report after every call
  • Sends calls to the right person by area

How a call goes

Your phone first, the AI second

1

Your phone rings

Pick up like always. Calls you don’t answer forward to the AI receptionist after a few rings.

2

It answers in your name

It greets callers in your business’s name, lets them know the call is recorded, then asks what they need.

3

It checks the job

A job you do, in your area? It offers open times. A job you don’t do? It says so. Not sure? It takes a message.

4

You get the details

A phone alert for every booking and message, and an email report after each call.

Safeguards

You stay in control

🛑

Off in 10 seconds

If anything feels wrong, dial a short code from your phone and your calls go straight back to your normal voicemail. Another code turns it back on. You don’t need to call us first.

✅

Nothing booked without you

Start in confirm mode. Each booking lands on your calendar marked “please confirm,” and the caller hears that you’ll call to lock it in. Switch to direct booking when you trust it.

🔒

No surprise prices, no card numbers

It never quotes a price you haven’t approved and never takes payment over the phone. Price questions get the answer you choose, like “free estimate, exact price after we measure.”

📅

Month to month

No long contract. If it isn’t earning its keep, cancel with a text or an email and we’ll switch it off.

Who an AI receptionist is for

It’s built for owner-run service businesses where the person who answers the phone is also the person doing the work. Think HVAC, plumbing, electrical, flooring, pavers, windows and doors, painting, cleaning and other trades. If your calls go to voicemail while you’re on a job, this is for you.

It’s probably not the right fit if someone in your office already answers almost every call. In that case a website chatbot may do more for you, and we’ll tell you that.

AI receptionist vs. voicemail vs. an answering service

Voicemail is free, but most callers won’t use it. In the numbers above, 3 people out of 88 left a message in five and a half months. Everyone else either reached a person or hung up.

A live answering service is friendly, but it usually charges by the call or by the minute, and the person on the line rarely has your calendar, your service area and your list of jobs to turn down in front of them. Most can take a message. Fewer can book a real visit.

An AI receptionist runs your own script on every call. It knows your services, your ZIP codes, your hours and your open times, because you gave them to it. It costs a flat monthly fee, and it does the same careful job at 2 in the afternoon and 2 in the morning.

FAQ

AI receptionist FAQs

Will callers know they’re talking to an AI?

It answers in your business’s name and tells every caller the call is recorded. It sounds natural, but it never claims to be a person: if a caller asks, it says it’s an automated assistant. If a caller wants a human, it takes a message so you can call them back.

Do I have to change my phone number?

No. Your customers call the same number they always have. We set up call forwarding so your phone rings first and only unanswered calls go to the AI receptionist. It works with most cell phones and many business phone systems, and we walk you through it.

What if it gets something wrong?

You’ll see it. Every call comes with a summary and a transcript, so you can check what was said. Tell us what to change and we update its rules. If you ever need it off right away, a short code from your phone turns it off in about 10 seconds.

Is it legal to record calls in Florida?

Florida’s call recording law requires everyone on a call to agree to the recording. That’s why the AI receptionist tells every caller at the start that the call is recorded, before they share anything. This is general information, not legal advice.

Does it ever call people?

No. It only answers calls that come to you. It never makes sales calls or cold calls, and it doesn’t call leads back on its own.

Which calendar does it book into?

Google Calendar today. If you schedule in Housecall Pro, Jobber or another tool, ask us and we’ll tell you straight what connects and what doesn’t.

What about emergencies?

You decide what counts as urgent. For true emergencies, like a gas smell, it gives the caller the safety steps you’ve approved and alerts you right away instead of booking a normal visit.

Does it speak Spanish?

Today it answers in English. Spanish is next on our list. If a lot of your callers speak Spanish, tell us when we talk.

Hear it before you decide

Book a live demo and we’ll walk through it together on a call. You’ll hear it answer, book a visit, turn down a job it doesn’t do, and send the alerts, set up for a business like yours.
